What personal data we process, for what purpose and legal basis, for how long, and how to exercise your rights.

In shortYou do not have to give us anything to read this site. If you write to us, we use your email to answer you; if you join, we handle what running the activity requires; and photographs from the mat are published only with your permission, which you can withdraw at any time. Analytics do not run until you accept them. You have the right to see, correct and delete your data, and how to do that is set out below.

Aikido Musubi is committed to protecting the privacy of the users of its website, its members, students and anyone whose personal data it processes. This Privacy Policy has been drafted in accordance with Regulation (EU) 2016/679 (General Data Protection Regulation, “GDPR”) and Spanish Organic Law 3/2018, of 5 December, on the Protection of Personal Data and the guarantee of digital rights (LOPDGDD).

The Association has not appointed a Data Protection Officer (DPO), as none of the circumstances requiring one under Article 37 GDPR apply. For any matter relating to the protection of your data, you may contact the email address indicated above.

2. What data do we process, for what purpose and on what legal basis?

We process personal data according to your relationship with the Association:

a) Enquiries via the website, email, phone or WhatsApp

  • Data: name, email, phone number and any data you provide in your communication.
  • Purpose: to handle and respond to your enquiry or request for information.
  • Legal basis: your consent and/or the taking of pre-contractual steps at your request (Art. 6(1)(a) and 6(1)(b) GDPR).

b) Registration and management of members and students

  • Data: full name, ID/passport number, date of birth, postal address, phone, email, bank details for the collection of fees, grade and data relating to aikido practice, and where applicable federation licence data.
  • Purpose: to manage registration and the relationship as a member or student, organise classes and courses, collect fees, process sports licences and insurance, and comply with the Association’s obligations.
  • Legal basis: performance of the membership relationship or contract to which you are a party (Art. 6(1)(b) GDPR), compliance with legal obligations applicable to the Association (Art. 6(1)(c) GDPR) and, where applicable, your consent.

c) Data of minors

For the registration of minors under 14 years of age, the consent of the parents or legal guardians is required. They must provide their own identification and contact details in addition to those of the minor. The Association will process the minor’s data exclusively to manage their participation in the activities, and will not process more data than is strictly necessary.

d) Images and videos

  • Data: images and video recordings of members, students and attendees taken during classes, courses, events and demonstrations.
  • Purpose: to promote the Association’s activities on the website and on social networks (Facebook, Instagram, YouTube).
  • Legal basis: your express consent (Art. 6(1)(a) GDPR), obtained through the corresponding image-use authorisation clause. In the case of minors, this consent must be granted by their parents or legal guardians. You may withdraw this consent at any time.

e) Browsing and cookies

  • Data: browsing data and device identifiers, processed through cookies and similar technologies (for example, Google Analytics via Google Tag Manager).
  • Purpose: to analyse the use of the website and produce statistics.
  • Legal basis: your consent, given through the cookie notice. See the Cookie Policy for more information.

3. How long do we keep the data?

  • Enquiry data will be kept for as long as necessary to handle it and, thereafter, for up to 1 year, unless you request its deletion sooner.
  • Member and student data will be kept for as long as the membership relationship lasts and, once ended, for the periods legally required to address possible liabilities (generally up to 4 years for tax matters, and other periods as required by applicable law).
  • Images and videos will be kept for as long as consent is not withdrawn and there is an interest in promoting the activities.

4. Who do we share your data with?

As a general rule, the Association does not transfer data to third parties, except where legally required. However, your data may be shared with:

  • Public administrations and official bodies, where there is a legal obligation.
  • Sports federations and insurance entities, for the processing of sports licences and insurance, where applicable.
  • Banking institutions, for the management of fee collection.
  • Service providers acting as data processors, such as the web hosting provider (GitHub, Inc.) and the analytics tools provider (Google). These providers only process the data in accordance with our instructions.
  • Social networks (Facebook/Meta, Instagram, YouTube/Google), in relation to the content published on those platforms.

5. International data transfers

Some of the providers we use (such as GitHub, Inc. and Google LLC) are located in the United States. Such international transfers are covered by the EU-U.S. Data Privacy Framework and/or the Standard Contractual Clauses approved by the European Commission, which provide adequate safeguards under the GDPR.

6. What are your rights?

You have the right to:

  • Access your personal data.
  • Request the rectification of inaccurate data.
  • Request the erasure of your data (“right to be forgotten”).
  • Request the restriction of processing.
  • Object to processing.
  • Request the portability of your data.
  • Withdraw consent given at any time, without affecting the lawfulness of processing prior to withdrawal.

You may exercise these rights by writing to info@aikidomusubi.com or to the postal address indicated in section 1, enclosing a copy of your identity document or equivalent document that allows your identity to be verified.

Likewise, if you consider that the processing of your data does not comply with the regulations, you have the right to lodge a complaint with the Spanish Data Protection Agency (AEPD), C/ Jorge Juan, 6, 28001 Madrid — www.aepd.es.

7. Security measures

The Association has adopted the technical and organisational measures necessary to ensure the security of personal data and prevent its alteration, loss, unauthorised processing or access, taking into account the state of the art, the nature of the stored data and the risks to which it is exposed.

8. Accuracy of the data

The user warrants that the personal data provided is truthful and is responsible for notifying any changes to it. The user shall be solely responsible for any direct or indirect damage caused to the Association or any third party as a result of completing forms or communications with false, inaccurate, incomplete or outdated data.

9. Amendments

The Association reserves the right to modify this Privacy Policy to adapt it to legislative or case-law developments. We recommend reviewing this page periodically.
